Bookkeeping built for a dental practice

Books that tie out to your practice management software

Dental bookkeeping is the monthly work of turning production, collections, insurance payments and expenses into accurate financial statements. The test of good dental books is simple: what your practice management software says you produced and collected has to agree with what landed in the bank.

We are a CPA firm, so the same team that keeps your books can prepare your returns and advise on the numbers. For the wider scope, including tax planning and CFO-level reporting, see our dental accounting services.

Every month

What does monthly dental bookkeeping include?

  • Production and collections from Dentrix, Eaglesoft or Open Dental reconciled to bank deposits
  • Insurance payments and patient payments recorded separately, so receivables stay clear
  • Adjustments, write-offs and refunds posted and explained, not buried in income
  • Payroll for dentists, associates, hygienists and assistants coordinated with your payroll provider and tied to the filings
  • Lab fees and dental supply costs coded consistently, so you can compare them with collections month to month
  • Equipment financing and loan balances matched to lender statements
  • Bank, credit card and merchant-processor reconciliations
  • A monthly profit and loss statement, balance sheet and a short report of your key practice numbers

The dental-specific part

How do you reconcile dental production, collections and insurance?

Production is the value of care delivered. Collections are the cash received. They are rarely equal in a given month, and the gap is where most dental books go wrong. We start from your practice management reports, such as the day sheet, deposit detail and adjustment reports, and trace them to the bank.

  1. 01Match each deposit to the payments posted in your software, whether it came from a patient, an insurer or a card processor.
  2. 02Record insurance payments against receivables, using your remittance advice or EOBs when a deposit combines several claims.
  3. 03Review write-offs and adjustments so contractual reductions are not mistaken for lost income.
  4. 04Investigate differences until production, collections and deposits agree, then report the open items to you.

Catch-up bookkeeping

Is your practice months behind on its books?

Dentists are busy treating patients, and bookkeeping is the first thing to slip. If your books are months behind, we reconcile the past months, correct errors and get the records ready for your tax preparer.

We quote catch-up work after a free call, because the scope depends on the size of the practice: how many months are behind, how many accounts and locations there are, and what shape the records are in. You receive the quote in writing before any work starts. Read more on our catch-up bookkeeping page, or see what a dental catch-up takes.

  • Months of unreconciled bank and card accounts
  • Insurance deposits that do not match what the software shows
  • Payroll balances that do not tie to the filings
  • A new owner or a new bookkeeper inheriting messy books
  • A tax deadline coming with records that are not ready

How it works

How does dental bookkeeping work with us?

  1. 01Free 20-minute call: you tell us about your practice, your software and how current your books are.
  2. 02Scope and quote: we confirm what you need, monthly bookkeeping, catch-up, or both, and send a written quote.
  3. 03Secure setup: we get access to your accounting file and the reports we need through secure file sharing.
  4. 04Catch-up, if needed: we bring past months current before monthly work begins.
  5. 05Monthly close: each month we reconcile, post and send your financial statements and key numbers, and we are available to explain them.

Beyond the books

Payroll, taxes and the rest of the practice

Bookkeeping connects to everything else in the practice. We coordinate with your payroll provider, or you can use our payroll services for dentists, associates, hygienists and staff. Because we are a CPA firm, we can also prepare the practice and personal returns, and plan ahead for equipment purchases and owner pay.

For a multi-location practice or a group, we set up the accounts so each location can be reported separately and combined when you need the total.

FAQ

Dental bookkeeping questions, answered

Still have questions? Ask them on a free 20-minute call.

Which dental software do you work with?

We work from the reports of Dentrix, Eaglesoft and Open Dental, and from other practice management systems that can export production, collections and deposit reports. For accounting, we work in QuickBooks Online and other major platforms. Tell us what you use on the free call.

How do you reconcile insurance payments?

We match each deposit to the payments posted in your practice management software. When one deposit covers several claims, we use your remittance advice or EOBs to split it. Insurance and patient payments are recorded separately so receivables stay accurate.

Do you handle payroll for hygienists and staff?

Yes. We can run payroll through our payroll services, or coordinate with the provider you already use and tie payroll to your books and filings. It covers dentists, associates, hygienists and assistants.

What does catch-up bookkeeping cost?

We quote catch-up work after a free call, based on how many months are behind and the size of the practice. You get a written quote before any work starts, with no obligation.

What do you need to get started?

Usually bank and credit card statements, practice management production, collections and adjustment reports, payroll reports, loan and equipment financing statements, and access to your accounting file. We send a checklist after the call.

Do you work with practices outside Illinois?

Yes. We are based in Lisle, IL, and our work is remote. We serve dental practices nationwide using secure file sharing and video meetings.

Can you also prepare our taxes?

Yes. We are a CPA firm, so the team that keeps your books can prepare the practice and owner returns once the books are reconciled.

Do you work with multi-location practices and DSOs?

We can set up the books so each location is tracked separately and combined into one report. Whether we are the right fit depends on the size and structure of the group, so raise it on the free call.

What is the difference between dental bookkeeping and dental accounting?

Bookkeeping is the monthly recording and reconciling of transactions. Accounting adds tax planning, returns and advice on the numbers. We do both. See our dental accounting and CPA services for the wider scope.

Do you speak Spanish?

Yes. Christian Soriaga, CPA, works with clients in English or Spanish.
